Introduction
Augmend ("we," "our," or "us") operated by Decodexis Consulting Services (acts as data controller and is registered in the Netherlands) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Augmend Excel Add-in ("the Add-in").
Information We Collect
Authentication Information
When you sign in to the Add-in, we collect:
- Email Address: Your email address from your Google or Microsoft account
- Authentication Tokens: OAuth tokens provided by Google or Microsoft for authentication solely to verify your identity
- User ID: Unique identifier from your authentication provider
- We do not receive your password or access to any other information from your Google or Microsoft account. Google and Microsoft act as authentication providers and process your login data according to their own privacy policies
The authentication information is stored locally in your browser's localStorage and is used solely for authentication purposes.
Project and Usage Information
When you use the Add-in, we collect:
- Project Data: Project names, descriptions, and metadata you create
- Extraction Requests: Information about documents you upload or URLs you process
- Usage Patterns: How you interact with the Add-in (features used, frequency of use)
Document Data
When you upload documents or process URLs:
- Uploaded Files: Documents, images, or other files you choose to upload
- Extracted Data: Data extracted from your documents using AI processing
- Processing Metadata: File names, sizes, processing status, and timestamps
Documents are stored securely in cloud storage and are only accessible to you and users you explicitly grant access to. You can delete documents from the cloud storage at any time.
Excel Workbook Data
The Add-in reads and writes data to your Excel workbooks:
- Extraction requirements text: Your extraction requirements text that you enter in the Add-in while creating a pipeline
- Structured Fields: Field definitions you create in Excel sheets
- Downloaded Results: Extracted data written to Excel tables after processing
- The addin does not access your OneDrive, SharePoint or local file system unless you explicitly upload files or selected workboook data for processing
When you create a pipeline, the extraction requirements text and structured field definitions you provide are sent to our servers to generate the extraction pipeline. Downloaded results are written to your Excel workbook after processing is complete. Your Excel workbook data is only transmitted when you explicitly create a pipeline or upload documents for processing.

Data Storage and Security
Local Storage
The following information is stored locally in your browser:
- Authentication tokens (Firebase ID tokens)
- Selected project information
- User preferences and settings
- Recent projects list
This data is stored in browser localStorage and is not accessible to other websites or applications.
Cloud Storage
The following information is stored in cloud services:
- Google Firebase: User profiles, project metadata, access permissions
- Google Cloud Storage: Uploaded documents, extracted data, field maps
- Google API Services: Processing jobs, extraction results
All cloud storage uses industry-standard encryption and security measures.
Security Measures
We implement appropriate technical and organizational measures to protect your information:
- Encryption in transit (HTTPS/TLS)
- Encryption at rest for stored data
- Access controls and authentication
- Regular security updates and improvements
Data Sharing and Disclosure
We Do Not Sell Your Data
We do not sell, trade, or rent your personal information to third parties.
Service Providers
We may share information with trusted service providers who assist in operating our services:
- Google Cloud Platform: Hosting and storage services
- Firebase: Authentication and user management
- AI Processing Services: Document extraction and analysis
These providers are contractually obligated to protect your information and use it only for the purposes we specify. Your data is not retained by AI service providers and is not used totrain AI models
Project Sharing
When you grant access to a project:
- Authorized users can access project data and extracted results
- Project administrators can manage user access
- You control who has access to your projects

We may disclose your information if required by law or in response to valid legal requests, such as:
- Court orders or subpoenas
- Government investigations
- Protection of rights, property, or safety

Access and Correction
You have the right to:

Data Deletion
You can delete your projects and data at any time through the Add-in interface. To request complete account deletion, please contact us using the information below.
Opt-Out
You can stop using the Add-in at any time. Local data stored in your browser can be cleared through your browser settings.
Cookies and Tracking
The Add-in uses localStorage for storing preferences and authentication tokens. We do not use cookies or tracking technologies for advertising or analytics purposes.
Children's Privacy
The Add-in is not intended for users under the age of 13. We do not knowingly collect information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately.
International Data Transfers
All your documents and processed data are stored in Google servers in the European Union. Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from those in your country. Where such transfers occur, we rely on appropriate safeguards such as Standard Contractual Clauses (SCCs) or equivalent protections provided by our service providers (including Google Cloud and Firebase). We ensure appropriate safeguards are in place to protect your information.
Data Retention
During the Preview Program, all user uploaded documents and extracted data will be permanently deleted on or after 30 April 2026 as described in our Terms of Use, unless there is explicit mutual agreement in writing to retain the data. Account authentication data and basic profile information may be retained as required for security, auditing, or legal purposes.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by:
- Posting the updated policy on our website
- Updating the "Last Updated" date
- Providing notice through the Add-in when significant changes occur
Your continued use of the Add-in after changes become effective constitutes acceptance of the updated policy.
